The broker was put on the defensive with this client of 20+ years. Another broker claimed that their exclusive offer with a particular Voluntary Benefits (VB) carrier was superior to the existing VB offered. In the meantime, the client received a 47% rate increase on their Medical plan and desperately needed to incorporate personalized messaging to their population.

Customer’s current benefit administration platform would not connect to voluntary benefit providers for enrollment. The group also relies heavily on the broker for their service and enrollment support. Broker actually had to hire a dedicated account manager to exclusively service this account; costing them time, money and resources.

Broker brought in ActiV8 for a full analysis of the existing Voluntary Benefits (VB) plans and enrollment processes, including how each were impacted by the payroll/benefit administration system. ActiV8 recommended using VB products to fund a core enrollment for all products. This solution would provide holistic messaging around their benefits program and the pending changes – at no charge to the client.
ActiV8 went to market to find a quality carrier and enrollment solution, outlined all expectations of the project for all parties involved via a document of understanding, worked as a liaison between the payroll/benefits administration vendor, and made sure all parties adhered to the assigned tasks in this document.
The client agreed to facilitate mandatory group meetings followed by mandatory one-on-one meetings with each employee. The enrollment vendor agreed to perform all enrollment meetings as needed and bring in their electronic enrollment system for the VB products. In turn, they utilized the client’s benefit administration system as the system of record for all other core benefits. The enrollment vendor was able to take elections within two separate platforms by toggling between the two systems. They used one system to collect their core benefit elections and the other system to collect the VB elections.
